Privacy Notice
Bay Crest Children's Summer Program 2026
Bay Crest Association ("we," "us") respects your privacy. This notice explains what
information we collect through the camp registration form, why we collect it, how we
protect it, and your choices.
Information We Collect
When you register a child for camp, we collect:
- Family contact information: parent/guardian name, address, email, phone, emergency contact
- Camper information: child's name, date of birth, attendance preferences
- Health information: insurance plan, member ID, physician/dentist details, allergies, medical conditions, medications
- Membership information: member or guest status, sponsoring member (for guests)
- Payment information: we do not collect or store credit card numbers. Card details are entered directly with our payment processor (Stripe), which is PCI-DSS Level 1 certified.
How We Use Your Information
- To process your registration and confirm enrollment
- To collect payment for the program
- To contact you about program logistics, schedule changes, and emergencies
- To provide medical staff with necessary health information for your child's care
- To maintain accounting records as required by law
How We Protect Your Information
We follow reasonable administrative, technical, and physical safeguards as required by the
New York SHIELD Act:
- The registration form is delivered over an encrypted (HTTPS) connection.
- Registration data is stored in encrypted form with access restricted to authorized program staff.
- Payment information is handled exclusively by Stripe, our PCI-DSS compliant payment processor — we never see or store full card numbers.
- Health information is shared only with on-site medical personnel on a need-to-know basis during the program.
- We require strong passwords and two-factor authentication on all administrative accounts.
Sharing With Third Parties
We share information only with the following service providers, as needed to operate the program:
We do not sell your information, and we do not share it with marketing partners.
How Long We Keep Your Information
- Registration and health information: retained for the program season plus 2 years for liability and recordkeeping purposes, then securely deleted.
- Payment records: retained for 7 years to meet IRS and accounting requirements.
- Email communication records: retained for 1 year.
Your Rights
You may:
- Request a copy of the information we have about you and your family
- Request correction of inaccurate information
- Request deletion of your information after the retention period above (except where required to retain by law)
- Withdraw consent for future communications at any time

Children's Privacy
This registration form is intended to be filled out by parents and guardians, not by children.
We do not knowingly collect information directly from children under 13.
Changes to This Notice
We may update this notice as our practices evolve. Material changes will be communicated by email
to current registered families.
